Director of Member Engagement and Operations for the Tuscaloosa Association of Realtors
POSITION SUMMARY:
Seeking an energetic, experienced customer service-oriented and skilled professional to provide a range of supportive administrative services for the Chief Executive Officer (CEO) and to provide superior customer care to members as the Director of Member Engagement and Operations for the Tuscaloosa Association of REALTORS®. The ideal candidate will be able to work confidentially and accurately and is detail oriented. The position is full-time in-person on Monday-Friday from 8:00am – 5:00pm.
As Director of Member Engagement and Operations this person will be responsible for implementing Professional Development offerings for members; coordinating and managing the essential services of the Association, including maintenance of education records and files, member communications, assisting with lockbox services, and being the primary point-of-contact at the Association office. This individual must be knowledgeable of all Tuscaloosa Association of REALTORS® and National Association of REALTORS® activities, policies, procedures and operations.
ESSENTIAL FUNCTIONS:
- Implement Professional Development offerings for the Association, including: Lunch & Learns, Continuing Education (CE) classes, Designation/Certification courses, Zooms/webinars, etc. pursuant to applicable regulations.
- Responsible for setting up, scheduling and promoting Professional Development offerings and Association events in GrowthZone (Association Management System) and setting up Continuing Education (CE) classes with the Alabama Real Estate Commission (AREC) for the Tuscaloosa Association of Realtors School of Real Estate (TARSORE).
- Responsible for all aspects of the Professional Development offering including, but not limited to, registration, collecting course fees (if any), creating and maintaining attendance sign-in/sign-out sheets, preparation of classroom on the day of the event, proctoring CE Classes, submitting CE credit and maintaining CE class records for the AREC, entering Code of Ethics completion information into the National Association of REALTORS® M1 Database.
- Maintain knowledge of regulations which impact Professional Development programs offered by the Association.
- Serve as the Administrator for TARSORE with the AREC.
- Support the Professional Development Committee with organizing handouts and materials for attendees, sending attendance notice reminders to attendees, ensuring new members have completed Code of Ethics requirement for New Members prior to orientation.
- Attend TAR Membership Luncheons and other Association events, assists with set-up, preparation, check-in, and clean-up.
- Assist with setting up new members in the GrowthZone AMS, collecting new member paperwork, collecting new member dues/fees, and maintain Association membership files and records.
- Assist with member communications via email, newsletter, social media, and the GrowthZone AMS.
- Design agendas for Association luncheons and forms, flyers, notices for various Association meetings and events as needed.
- Maintain a calendar of all Association meetings, classes, and events; coordinates with CEO’s calendar.
- Assist with ARPAC fundraising activities.
- Serve as the primary point of contact for all membership and Association services and incoming phone calls to the Association office, handling situations whenever possible and/or forwarding to proper party.
- Assist with collection of annual dues for the Tuscaloosa Association of REALTORS®, West Alabama Multiple Listing Service and SentriLock Lockboxes, Association lunches, and No Show Fines. Follow-up on overdue accounts.
- Assist members with Lockbox services and general MLS services.
- All other duties as assigned by CEO.
BASIC QUALIFICATIONS:
- Bachelor’s degree or 3+ years’ experience in a professional service environment with administrative, management and/or supervisory experience is required.
ADDITIONAL SKILLS AND ABILITIES:
- Excellent customer service and support skills and the ability to maintain a positive attitude amidst job demands. Exceptional written and oral communication skills and the ability to build trusted relationships with customers and fellow staff members. Must be a team player.
- Demonstrated ability to anticipate problems, identify opportunities, and take a proactive approach to project management.
- Excellent organization skills and attention to detail.
- Intermediate to advanced level of knowledge in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Knowledge of MLS services is preferred.
- Knowledge of Lockbox services is preferred.
- Knowledge of GrowthZone or other Association Management System (AMS) is preferred.
- Knowledge of QuickBooks is preferred.
- Knowledge of Canva is preferred.
- Ability to execute objectives in a variety of situations and circumstances, including project deadlines, demanding members, budget allowances, evolving goals and objectives.
- Ability to work effectively with co-workers, members, and others by sharing ideas in a constructive and positive manner.
- Excellent work ethic and attendance.
- Real estate experience is helpful but not required.
- Highly effective at “multi-tasking.”
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
Ability to walk, stand, and sit (including on the floor) for long periods of time while maintaining alertness for several hours at a time.
- Must be able to lift and carry supplies weighing up to 20 pounds.
- Position may require bending, leaning, kneeling, and walking.
- Ability to speak concisely and effectively communicate.
- Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
- Ability to view/enter data for long periods of time.
- Offsite work may be required.
- Some travel may be required.
