Executive Assistant to the President & CEO


Position Summary 


The Executive Assistant to the President and CEO provides administrative support to the President and CEO and top volunteer leadership; coordinates the functions of the Chamber’s governing bodies; supports all aspects of facility operations; and assists with membership engagement and resource development initiatives.


Responsibilities

· Serves as the primary liaison for the President and CEO to volunteer leadership, members, professional staff, and all external stakeholders

· Assists with maintaining the calendar of and coordinates the scheduling of appointments for the President and CEO

· Drafts official correspondence for the President and CEO and top volunteer leadership

· Assists the President and CEO and top volunteer leadership in preparing for meetings, presentations, and speeches, as needed, by coordinating with staff on needed research, reports, materials, and audio/visual needs

· Coordinates all planning and logistics for meetings and events of the organization’s governing bodies, which consist of the Chamber Executive Committee, Chamber Board of Directors, West Alabama Chamber Foundation Board of Directors, and Future PAC Board of Directors

· Prepares meeting notices, agendas, minutes, and supporting materials for all meetings of the organization’s governing bodies

· Maintains organized electronic and paper files of pertinent governance documents

· Maintains an updated listing of all members of the governing bodies in the membership database and ensures that all printed materials and website listings are updated

· Assists with all aspects of facility operations for the West Alabama Workforce and Community Development Center, including the coordination of regular maintenance and ongoing renovation activities

· Provides oversight of the scheduling and use of facility meeting space by tenants and members

· Manages all aspects of the Chamber Perks affinity program

· Assists with resource development initiatives, including the ALL IN capital campaign and ConnectIN sponsorship campaign

· Assists with membership engagement activities, including membership events and various meetings of committees/councils

· Assists with maintenance of the Chamber’s membership database and calendar of events

· Serves as the primary backup in answering incoming calls and greeting walk-in visitors

· Coordinates special projects and events, as assigned


Requirements

· Excellent verbal and written communications skills

· Exceptional interpersonal skills with an outgoing personality and professional appearance

· Detail-oriented with strong organizational and time management skills

· Self-starter with the ability to perform job function under minimal daily supervision

· Highly proficient in Microsoft Office programs including Outlook, Word, and Excel

· Must be a collaborative team player who works well in a fast-paced, changing environment

· Thinks creatively to offer new ideas, strategies, and solutions

· Capable of maintaining sensitive and confidential information

· Must be able to work normal hours of 8:30 a.m.-5:00 p.m., Monday through Friday

· Participation in occasional early morning and evening meetings and events is required

· Occasional out-of-town travel may be required


Accountability

· Reports directly to the President and CEO

· Maintains a high ethical standard in dealing with information of a highly confidential nature

· Accountable to fellow staff members and volunteer leaders by ensuring their needs are met and questions are answered in a timely, friendly, and professional manner

· Works cooperatively and positively with all Chamber staff members and volunteers to promote an environment of excellence and teamwork

· Exhibits a total commitment to maintaining high-quality service standards of the Chamber of Commerce of West Alabama; demonstrates exceptional customer service skills in dealing with members, investors, colleagues, tenants, vendors, public officials, and all external stakeholders
